This Cancellation Policy applies to bookings made directly with Wombat’s Den.
Bookings made through an online travel agent or another third-party platform may also be subject to that platform’s cancellation and refund procedures. Guests should submit platform bookings and cancellation requests through the platform used to make the reservation.
Guest cancellations
Cancellation requests should be made in writing by email to stay@wombatsden.com.au and take effect when received by Wombat’s Den.
More than 14 days before arrival
Where a booking is cancelled more than 14 days before the scheduled check-in date, amounts paid for accommodation will be refunded, less:
- a $50 administration fee; and
- any reasonable, disclosed and non-recoverable third-party costs already incurred specifically for the booking.
Alternatively, subject to availability, the guest may request that the amount paid be transferred to another stay occurring within 12 months of the original arrival date.
A transferred booking may be subject to rate differences and may only be transferred once unless otherwise agreed.
Within 14 days of arrival
Where a booking is cancelled within 14 days of the scheduled check-in date, including on the arrival date, the full accommodation charge is payable.
Wombat’s Den will make reasonable efforts to rebook the cancelled accommodation.
If all cancelled nights are rebooked by another guest at the same or a higher accommodation rate, Wombat’s Den will refund the accommodation amount recovered, less:
- a $50 administration fee;
- any reasonable and non-recoverable costs already incurred for the cancelled booking; and
- any difference between the original accommodation rate and the replacement booking rate.
If only some nights are rebooked, or the replacement booking is made at a lower rate, the refund will be calculated according to the amount reasonably recovered for those nights.
A refund will not exceed the amount originally paid by the cancelling guest.
Any refund due following rebooking will be processed after the affected stay dates have passed and the replacement booking has been completed.
No-shows and early departures
Failure to arrive without cancelling the booking is treated as a cancellation on the arrival date. The full booking amount remains payable.
No refund is provided where a guest:
- arrives after the scheduled arrival date;
- leaves before the scheduled departure date;
- reduces the number of guests;
- elects not to use an included facility or service; or
- is required to leave because of a serious breach of the booking terms,
except where required under the Australian Consumer Law.
Changes to booking dates
Requests to change booking dates are subject to availability and must be approved by Wombat’s Den in writing.
A requested change made within 14 days of arrival may be treated as a cancellation and new booking.
Where a date change is accepted:
- the new rate applicable to the replacement dates will apply;
- any increase in price must be paid;
- a reduction in price may be retained as booking credit rather than refunded; and
- the cancellation period will continue to be calculated from the original arrival date if the changed booking is subsequently cancelled, unless otherwise agreed in writing.
Catastrophic Fire Danger Rating
Wombat’s Den is located in a bushfire-prone area.
The property will close to guests whenever a Catastrophic Fire Danger Rating applies to the relevant fire weather district for any part of a booked stay.
Guests will not be permitted to check in or remain at the property during the affected closure period and may be required to depart the preceding evening or at another time specified by Wombat’s Den.
Where Wombat’s Den cancels accommodation because of a Catastrophic Fire Danger Rating, the guest may choose between:
- transferring the value paid for the affected accommodation to another available date; or
- receiving a refund of the amount paid to Wombat’s Den for the affected accommodation.
No cancellation administration fee will apply.
Wombat’s Den is not responsible for separate travel, transport, meal, activity or accommodation expenses incurred by the guest, except where liability cannot legally be excluded. Guests are strongly encouraged to hold appropriate travel insurance.
Bushfires, severe weather and natural disasters
Wombat’s Den may cancel, shorten or evacuate a stay where accommodation cannot reasonably or safely be provided because of:
- an active bushfire, flood, storm or other natural disaster;
- an emergency warning or evacuation direction;
- unsafe or closed access roads;
- a government or emergency-service direction;
- loss of an essential service that makes the cabin unsafe or materially uninhabitable; or
- another serious and immediate safety risk.
Where Wombat’s Den cancels accommodation for one of these reasons, the guest will be offered a date transfer, credit or refund for the accommodation that cannot be provided, subject to the Australian Consumer Law.
Where Wombat’s Den remains open and the property is reasonably safe and accessible, a guest’s decision not to travel because of forecast weather, smoke, transport disruption, personal concern or changed circumstances will ordinarily be treated as a guest cancellation under the standard cancellation terms.
Wombat’s Den may nevertheless offer a date change or credit where circumstances warrant it, but is not required to do so unless the guest has a right to a remedy under the Australian Consumer Law.
Illness and personal circumstances
Illness, injury, family emergencies, transport interruptions and changes in personal circumstances remain subject to the standard cancellation terms.
Guests should obtain travel insurance that covers cancellation for illness, injury and other unforeseen circumstances.
Cancellation by Wombat’s Den
Wombat’s Den may cancel a booking where:
- the accommodation becomes unsafe or unavailable;
- an emergency closure applies;
- an administrative or pricing error is identified before the stay;
- the booking was made fraudulently or contrary to these terms;
- payment is not received by the due date; or
- the guest materially breaches the booking conditions.
Where Wombat’s Den cancels for reasons not caused by the guest, the guest will be offered:
- a transfer to suitable alternative dates;
- comparable alternative accommodation, where reasonably available and accepted by the guest; or
- a refund of amounts paid for services that will not be provided.
Wombat’s Den will not cancel an accepted booking merely to accept another booking at a higher price.
Where cancellation results from the guest’s breach, fraud or failure to pay, refunds will be determined under the standard cancellation terms and the Australian Consumer Law.
Refund processing
Approved refunds will be returned through the original payment method where reasonably possible.
Processing times may vary depending on the bank, card provider, payment gateway or booking platform. Wombat’s Den is not responsible for external processing times, currency fluctuations or fees charged by a guest’s financial institution.
Australian Consumer Law
Nothing in this Cancellation Policy excludes, restricts or modifies any consumer guarantee, right or remedy that cannot lawfully be excluded under the Australian Consumer Law.
